Videoconferencing

One of the keys to success is to ensure that all remote sites have equipment this is compatible with our equipment. Some additional things to consider are listed below.

Things to Consider
  • How many distinct sites will be participating?
    • If a videoconference has only two sites, this is called a point-to-point conference and is the easiest to organize.  Individual ttendees can use a webcam and Polycom VSX software from any computer to participate.
    • If a conference has more than two sites, a “multi-point conferencing unit” (MCU) is required to bring all the participants together.  An MCU is specialized equipment that serves as a hub to connect all the end-points.  A mulit-point videoconference is more complex and generally takes more time to set up.
  • How many participants will be located at each site?
    • If each site has multiple participants, this can reduce the number sites needed.  For example, if 10 people need to conference, you may be able to arrange for two sites where 5 people are on each end.  This reduces the complexity of adding additional conferencing hardware.
  • Do you have the technical contact information for each remote site?
    • You’ll want to identify the name, phone number, cell number, email, and any other contact info for the technical support person at EACH site that will be participating in a videoconference.
  • Does each site already have H.323 videoconferencing equipment?
    • Videoconferencing equipment is required at each site that will be conferencing.  H.323 equipment allows free videoconferencing through the Internet.  Not all H.323 is 100% compatible, so it is good to identify the make and model of equipment being used at each site.
  • Have you made arrangements to use COE videoconferencing equipment/software?
    • Please email edit@purdue.edu well in advance of your videoconference.  Two week advance notice is preferred but we may be able to work you in so send us email with an inquiry.
  • Are there firewalls at each of the participating sites?
    • Firewalls are one of the biggest challenges when videoconferencing.  Ample time is needed to work with the technical contact at each site to test for a successful connection.
