Declaring Candidacy and Audit Formsback to top
Students must be registered in the session they plan to graduate. A Registrar's Form 23 "Course Request" should be marked YES in the candidate section of the form.
Candidate Listback to top
A candidate list will be sent out on the departmental listservs each semester. Faculty should check this list very carefully to make sure all of their advisees that are planning to graduate are on the list. Any additions or deletions to the candidate list should be directed to the COE Office of Graduate Studies. A deadline is given each semester by the Graduate School to add students to the candidate list
The Graduate School will not add students to the candidate list past the deadline. If the student's name does not get added to the candidate list by the deadline, the student will need to register in the following semester and be added to the following semester's candidate list.
Candidate Audit Formsback to top
Each semester advisors will be sent an Audit Form (Candidate Certification Copy) for each of their students on the candidate list. The advisor should check the Audit Form for any errors, sign both copies of the Audit Form and return both copies to the COE Office of Graduate Studies by the required deadline.
The Audit Form will indicate any problems the student may need to take care of to remain on the candidate list. Close attention should be paid to any courses not completed, degree title and area of specialization.
It is the student advisors' responsibility to notify their students of any problems that need to be taken care of and the steps (execute changes to the plan of study or other necessary documents) to address any deficiencies noted on the Audit Form.
If your student will not be graduating, you are still required to sign both copies of the Audit Form and return both copies to the COE Office of Graduate Studies. You should write on the lines provided on the right hand side of the Audit Form, "will not graduate."

Students will be mailed their diplomas if they do not participate in commencement. Students should check to make sure the Office of the Registrar has a current address for them.
Thesis Microfilming Feeback to top
The thesis microfilming fee must be paid, as specified in a mailing to the student from the Registrar. If this fee is not paid, the student's records are encumbered and the diploma is held until the fee is paid |
